1. Call to Order / Establish Quorum
The meeting was called to order at 4:33 PM.
Quorum was established.
2. Check-In
A board check-in was held at 4:33 PM.
3. In-Camera Meeting
An in-camera meeting was held at 4:35 PM.
4. Approval of Meeting Agenda
Greg Underwood motioned to approve the meeting agenda.
Cheyenne Schielke seconded the motion.
Motion passed.
5. Approval of Meeting Minutes from September 16, 2024
Cheyenne Schielke motioned to approve the meeting minutes from September 16, 2024.
Greg Underwood seconded the motion.
Motion passed.
6. Treasurer’s Report
The Treasurer’s Report was presented.
Greg Underwood motioned to approve the Treasurer’s Report.
Cheyenne Schielke seconded the motion.
Motion passed.
7. Business / Discussion
Old Business
Auditor / Bookkeeping
The Board discussed future considerations regarding whether a compilation engagement should be completed annually or on another schedule.
Website / IT
The Board noted that the lvcc.ca domain name has been obtained and work is underway to amalgamate the two domains.
The Board also discussed Slack nonprofit access. The Board gave Greg Underwood approval to move forward with this.
Policy Meeting
A policy meeting was scheduled for:
Sunday, November 3 at 10:30 AM
The meeting will include a potluck lunch.
Amanda Cutting will upload documents for review.
Thrift Store
The thrift store project is on hold until more manpower is available.
Strategic Planning
The Board discussed reviewing upcoming strategic goals, as well as strategic goals where deadlines have passed.
Administrator Hiring
Administrator hiring is dependent on policy development and will be reviewed again in December.
8. New Business
Committee Reports
Lawn Tractor Races Committee
The committee is already planning for next year.
Discussions are underway with a racing team regarding improvements to rules and regulations, advertising, and related planning.
The committee is also speaking with potential sponsors.
Fire Trailer Committee
Greg Underwood will arrange insurance for the fire trailers on October 29, 2024.
A Fire Trailer Committee meeting was scheduled for:
Saturday, November 9 at 11:30 AM
Trailer winterization will happen at the same time.
Programming Committee
A programming update was provided regarding current and upcoming program events.
Event Planning Committee
An update was provided on past events and upcoming events.
Hot Water in Kitchen
The Board discussed replacing the run from the “T” to the various kitchen offshoots on Thursday.
Generator
Greg Underwood and Greg Davidson will determine whether a new battery is needed for the generator.
9. Adjournment
Greg Underwood motioned to adjourn the meeting.
Cheyenne Schielke seconded the motion.
Motion passed.
The meeting was adjourned at 5:50 PM.
